Job description, responsibilities and duties

Are you a proactive and highly motivated individual who is passionate about working independently on a variety of office managerial duties? We are looking for an energetic and broadly experienced Executive Assistant to support the Corporate Solutions Actuarial Team in administrative tasks.

You will assist them and support them with meetings, expenses, events and travels as well as other secretarial and logistical or project tasks.

The role requires strong organization skills, with responsibility for planning and setting-up meetings, handling diaries, collaborating closely with attendees at all management levels and ensuring that logistics are well carried out.

Main tasks and activities:

• Act as trusted person and manage calendars, meetings, travels

• Filing and tracking expense reports, processing incoming invoices

• Keep track of deadlines and related incoming/outgoing correspondence

• Responsible for any administrative and logistic issues upon request

• Organizing and maintaining information on MS Teams

• Make and co-ordinate arrangements for various internal and external meetings and events

• Correspondence in English

About you:

• Sound commercial background with minimum 3 years' work experience in a corporate environment

• Service orientated - always responsive to given needs and contacting to help

• Excellent organizational skills with the ability to prioritize requests and deadlines

• Exceptionally attentive to details and time management

• Ability to take the initiative and to anticipate possible issues, as well as the ability to respond quickly to challenges

• Ability to work under pressure and demonstrate flexibility and adaptability

• Results oriented, enthusiast, a "will do" attitude and a positive attitude person by nature

• Ability to handle confidential information discreetly with the highest level of integrity

• Able to work independently

• Standout colleague and hyper collaborative

• Strong communication skills, self-motivated, proactive and results driven person

• Ability to maintain a high level of energy and passion

• Very good command of English. Any other language (e.g. German, Spanish and/or Portuguese) would be considered a plus

• Proficiency with MS Office programs (PowerPoint, Excel and Word)
