Job description, responsibilities and duties

In this role, you support the General Counsel Reinsurance EMEA and the Legal Reinsurance EMEA team. We can rely on you and you like keeping your manager and the team well organised.

Main responsibilities:

- Manage the calendar, e-mail, travel and expenses of your manager
- Be a trusted partner to the Management Team members by providing timely and high quality support
- Arrange and coordinate travel including logistics and expense filings
- Help with the organisation of meetings and team offsites
- Assist with onboarding of new joiners, including for example training on tools or processes we use in Legal
- Support us in connection with budget planning and tracking, the invoicing process for external legal spend, expense reporting, including setting up internal processes and coordinating and closely collaborating with others
- Support vendor/invoice payment process
- Build and maintain SharePoint sites and support us with team communication
- Review/format presentations and other documents

About the Team

We are a multi-jurisdictional team composed of legal professionals based throughout EMEA and provide legal support to Business Unit Reinsurance and the operating platform in EMEA. We are part of Division Legal & Compliance.

English - Upper intermediate (B2)

Personality requirements and skills

Are you up for the challenge?

- You have 2 years or more working experience in supporting executives or administration or any relatable field, ideally in a legal department or law firm
- You are proficient in English (German or any other European language is a plus)
- Communication is a strength of yours
- You have very good knowledge of MS Office tools (Outlook, PowerPoint, Excel, Word)
- You like working on multiple projects in parallel and coordinate assignments across teams and multiple jurisdictions.
- High energy with strong organizational and time management skills and able to work independently.
- Willing to adapt to changes in objectives and priorities in response to changing business needs.
- Discrete and can handle confidential information
- You are recognised for being an excellent team-mate, good at finding solutions, always happy to assist others and for your good sense of humour.
