Job description, responsibilities and duties

• Welcoming and taking care of guests, clients, customers, offering them refreshment
• Maintenance of meeting rooms, kitchens and dining rooms
• Organizing logistics for meetings, company events, catering, etc.
• Administrative works
• Handling telephone calls
• Organizing and maintaining office supplies
• Supporting managers, team leaders and company guests
• Organizing and supervising of suppliers of cleaning services
• Organizing incoming and outgoing post and couriers
• Managing office services and repairs
• Responsibility for a smooth running of a reception and company premises; keep reception area neat and tidy
• Handling the duties with care, commitment and always in a courteous manner
• Co-ordination and ordering of refreshments, when required, for meetings and events
• Answering incoming calls and directing them, as appropriate; taking messages if necessary and e-mail relevant individuals without delay; checking e-mails and company calendar each morning and react accordingly
• Distributing of incoming and processing outgoing post, alongside courier packages and parcels on a daily basis
• Providing administrative and/or customer support activities
• Communication with service suppliers and/or external contacts usually through established/routine connections (e.g. regular suppliers/contractors) as own section of work requires.
• In exceptional circumstances there may be a requirement to assist with other ad hoc duties

• Experience as receptionist 3 years
• Professional approach and presentation, while handling customer-facing reception desk
• Excellent communication (verbal and written) skills in Slovak and English
• Ability to effectively interact with company members and guests
• Ability to handle multiple tasks and work in a fast-paced work environment
• Ability to accurately complete tasks assignments & responsibilities in timely manner
• Responsive to customer requests in an empathetic, supportive and productive manner
• Positive work attitude, staying calm, courteous and polite in all circumstances
• Good knowledge of Microsoft Office and electronic communication tools
• Demonstrate initiative and proactive approach
• Approachable, friendly personality
• Self-motivated team player
