Job description, responsibilities and duties

Sales administrator & Office management role is responsible for administrative part of sales order process, begins with sales order entry up to final invoice to customer in coordination with other departments, including reporting and communicate with stakeholders involved in the process.
Provides necessary administrative support to general manager and other managers and their teams as well provides office management suport within the worksite.

Main responsibilities
- Registration of sales orders, updates of sales order up to readiness for a billing, all in ERP (SAP)
- Ensure offices, workplaces and other office places are equipped with all necessary office supplies and tools
- Suport managers with administrative subjects relates to procurement of services and goods
- Organize common meetings & team events (monthly meetings, company evets, team buildings, …)
- Provide active support to prepare agenda for common meetings, communicate common subjects within teams, consolidate inputs for various meetings and check deliverable
- Support onboarding of new employees: team introduction, access to tools, introduction of common processes, etc.)
- Cooperation & coordination with other teams (human resources, finance, reception, etc.) to ensure that processes are running well and efficient, propose improvements
- Support of well-being program, ensure offices is a place with representative look and nice place to work
- Provide supports to visitors (e.g. reservation of hotels, transfers from/to airport, refreshments, …)
- Might translate documents to/from English
- Other support required by a direct manager

Personality requirements and skills

- High school or University degree
- Proven experience with office management, sales & procurement administration (SAP or similar ERP is advantage)
- Advanced oral/written communication in Slovak and English, French is advantage
- Representative & pleasant behavior
- Flexibility, able to work independently, positive, and constructive approach to problem solving
- Very good communication and strong organizational skills with the ability to multi-task, stress resistant
- Ability to work in international environment with remote approach and large teams
