Job description, responsibilities and duties

Site Works Team Assistant supports all members of his department in the organization and monitoring of its activity, in compliance with internal rules and procedures, to ensure effective operation and efficiency of the department

Main responsibilities
* Management of Purchase order to Providers
- Booking service orders into SAP tool
- Dispatch work orders to OG suppliers
* Follow-up of provider's invoices
- Control of conformity of the provider's invoice (or proforma) compared to agreed conditions of the Purchase Order (Time Sheet & Fees)
- Update of orders based on validated invoices, receipt in SAP and validation request from HA.
- Follow-up of settlements in close coordination with CSP service.
* Files classification and archiving
- Purchase Order and supplier invoices
- Schneider FSR time sheet & expense report
- HR Doc of the Service (contract amendments, etc.)
* Purchasing and service ordering : Office equipment, Consumable, Test tools, PPE ...
- Management of the Site Works Service commissary
- Update of the follow-up file for internal purchases on Site Warehouse and Department
* Absentee monitoring, paid leave etc.. of our staff.
* Monitoring of cost reallocation
- Monthly update of the reclassification file of expenses charged to our Department
* PAPS Order processing in COUPA tool
- Coordination of HSE activities in collaboration with the GCP Ops safety officer and at REP level - tracking of Electrical accreditation, follow-up of Safety Plan, organizing and planning of Safety Survey on site, tracking of on line test for safety culture & loto for our providers, update some safety KPI, golden rules etc...
- Coordination of the logistic topics, mainly related to the preparation & follow-up shipments of our tools & test equipment for all mission performed for GSO - collect all shipment data, get all admin doc for shipment and custom clearance, checking shipping invoices etc...

Requirements for the employee

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2) and French - Intermediate (B1)

Personality requirements and skills

- 2 -4 years in equivalent position
Skills requirements
- proven work experience as a Secretary or administrative assistant
- Excellent written and verbal communication skills. Communicate effectively.
- Proficiency in MS Office & standard SE soft (SAP, Coupa, Concerto…)
- Ease in International working environment
- Familiar with SE Social network ( Yammer ..)
- Rigorous, Methodical and Meticulous
- Open, curious, and collaborative mindset (team spirit)
- Integrity and professionalism. Reliable & able to achieve sustainable results

Language requirement
- English - fluent
- French - highly valuable, especially in written
