Job description, responsibilities and duties

To contribute to better organization and planning, and help managers be more effective in their roles, we are seeking a well-organized student who would like to accept the challenge of being the Executive Assistant for our General Manager (GM) of Qorus Slovakia. The key responsibility will be to support the GM in his business development role.

MAIN TASKS AND DUTIES
Organizational
- Acting as the point of contact among executives/managers, employees, clients, and other external partners
- Managing the GM's day-to-day calendar, including making appointments and prioritizing the most sensitive matters
- Providing administrative assistance, such as writing emails, preparing reports and presentations
- Managing information flow in a timely and accurate manner
- Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
- Maintaining accurate corporate records, documents, and reports
- Performing minor accounting and bookkeeping duties
- Coordinating travel arrangements (both domestic and international) and creating trip itineraries
- Using various software, including word processing, spreadsheets, CRM, and presentation software to prepare reports and/or special projects
- Implementing and maintaining procedures/administrative systems
- Other miscellaneous tasks to support the managers and team members

Support with the coordination of the Regional Directors’ network
- Liaise with regional directors when required
- Participate in projects and new business development activity
- Support in organizing events and conferences
- Managing databases and filing systems

Office management
- Monitoring office supplies inventory and placing orders
- Keeping the office clean and organized to promote an efficient working environment

Candidates with education suit the position

University student
University education (Bachelor's degree)

Language skills

English - Advanced (C1)

Microsoft SharePoint - Basic
Microsoft Word - Advanced

Personality requirements and skills

Preferably some administrative experience
Excellent verbal and written communication skills
Strong interpersonal skills
Ability to work effectively with minimal supervision and in remote modes
Treating confidential information with appropriate discretion
Exceptional attention to detail
Familiarity with Microsoft Office Suite, PowerPoint, and other presentation tools
Fluency required in English (C1)
