Job description, responsibilities and duties

We are a Swiss management consulting company with a global footprint and trusted partner to financial services providers, solving their biggest challenges and helping businesses evolve to capture the potential of the new economy.
The Change Team of our client is responsible for managing all major projects and programmes. It has a $30m budget and manages about 15 major change initiatives. The team consists of 10 employees and approximately 60 third party project managers, business analysts and testers. Together, the team supports Functions to deliver most strategic and complex programmes of change.

Your Tasks:

The primary role is to support the London-based Change Team manage their portfolio of programmes and projects. The role will be responsible for the following:

• Finance

o Manage programme/Project budget (in spreadsheets)
o Spreadsheet reconciliation
o Third party invoice management

• Resourcing

o Supporting recruitment and renewals of project managers, business analysts and testers with our preferred suppliers
o Onboarding and off-boarding of resources
o Resource allocation and tracking
o Contract administration with our preferred recruitment suppliers
o Contractor timesheet management

• Governance

o Support with all governance forums
o Chair governance forums for project managers
o Support project planning across portfolio
o Proactively RAID management
o Gather and analyse project/programme reports

• Management Information (MI) and reporting

o Use spreadsheet data to create meaningful management information
o Create monthly pack of MI using spreadsheet data
o Consolidate project reports into meaningful MI
o Draft reports for senior stakeholders

Requirements for the employee

Candidates with education suit the position

University education (Bachelor's degree)
University education (Master's degree)

Language skills

English - Upper intermediate (B2)

Experience in the position/sector

•5+ years of experience working in a project management office or equivalent

Personality requirements and skills

• Expert in Microsoft Excel and proficiency with MS Office package
• Very strong attention to details and technicalities
• Very strong organisational skills with ability to work under pressure and on own initiative
• Good interpersonal and multi-tasking skills
• Experience with a project management methodology

Nice to have:

• Insurance or reinsurance industry experience an advantage but not essential
• Project management certification is an advantage
• Experience with Jira or other Kanban project management platforms
