Job description, responsibilities and duties

To provide dedicated administrative support to the Operations teams to ensure their effective and efficient operation as directed by their line Manager.
The role will encompass the delivery of key tasks, with a focus of this role being the deliverance of excellent customer service through open, courteous and friendly communication. This role will include Reception duties, Property (SRP) Management, H&S, Preventative Planned Maintenance (PPM) Coordination, and general office administration, including but not limited to translation of documentation, procurement duties, coordination of suppliers and subcontractors administrative functions.

• MS Office to intermediate to advanced level (MS Word, Excel, Outlook)
• Experience in a customer-facing environment
• Previous experience working for public and private service sector
• Experience in the co-ordination of internal multi skilled service delivery teams
• Experience in data and statistical information collection, collation and analysis
• Fluency in English and Slovak in writing and word
• Have excellent communication skills and dealing with people on one-to-one basis

The following technical competencies are desirable for the successful candidate.

• Experience of office environment of facilities management or property management services and dealing with suppliers and subcontractors
• An understanding of the following finance processes/functions – accruals, budgeting, variance analysis, forecasting
• Experience of internal multi skilled service delivery teams
• Previous experience working for public service sector
• Advanced German in writing and word

KEY RESPONSIBILITIES AND RESULT AREAS:

1. Administration duties assisting all Mitie departments
2. Provide a full range of support activities to the team
3. Logging and reporting Health and Safety issues and technical faults
4. Assisting in property management, searching for properties, inventories
5. Liaison with housing administrations
6. Document Management
7. Collect customer feedbacks on completed work orders
8. Provision of stationary for the client
9. Administration of hard copy and electronic files
10. Invoicing and purchase ordering
11. Administration of client and subcontractors’ contact lists
12. Efficient and courteous answering and announcing of all incoming telephone calls
13. Management of incoming and outgoing mail and its distribution within the post
14. Management of courier services
15. Ensure all associated paperwork is completed and maintained in an orderly and timely manner
16. Actively promote the interests of the customer by providing an informative, helpful service to all callers
17. Contribute service improvement initiatives to the benefit of the customer
18. Attend training and other meetings as required and to make specific training needs known to line management
19. To produce statistical data for waste and Environmental services as required.
20. Monitor performance measurement response times and coordination extension of PPM work orders.
21. Administering Help desk records as requested by Mitie team/FCDO
22. To produce monthly reports on MAXIMO data
23. To assist in the pan European delivery of the contractual PRISM function
24. To assist in the pan European delivery of the contractual Pyramid function, inventories
25. To coordinate and collate Audit data for statistical analysis
26. To assist in covering the responsibilities of other team members in times of absence, sickness or holiday cover
27. Liaison with Client representatives and customers
28. Development of positive working relationships with outsourced service providers
29. Develop a positive relationship with the Helpdesk
30. Collate performance data across all services which can be readily processed and analysed to realise real-time performance.
31. Stand-by receptionist to cover reception as required by Mitie FM team
32. To perform reception duties as required by Mitie FM team
33. Liaison with FCDO staff regarding their visitors, mail deliveries
34. Achieve and maintain quality standard of service
