Job description, responsibilities and duties

Administrative Manager will have exciting opportunity to manage Kivnon orders through the customized program, starting with contract signature, up to successful completion of the contract. This process includes opening sales orders, creating purchase orders, delivery notes, evidence of warehouse, issuing and connecting invoices, incoming invoices or any other tax documents. In different phases, it is necessary to be present on meetings to fully grasp the complexity of specific projects. There is need to held evidence of all company documentation and existing links between them, prepare regular information for accounting company and maintain contact with suppliers, as well as customers. Also track payments and provide information for the finance department. Cooperation with the occupational health service and the supplier of health safety documentation. At last, but not least, check of payroll attendances, travel expenses, calculation of meal allowances, keeping evidence all monthly employee documentation e.g., approval of leave.
The ideal candidate learns and analyzes the KIVNON process for needed steps and logistic workflow in detail to understand how Kivnon’s sales of the product are processed, and documentation is registered.
He or she will be able to work independently on individual orders, through warehouse evidence up to invoicing and registering tax documentation. This role is the link between the internal documentation of company and the accountant.

- Frequent and direct contact with the suppliers and accounting company.
- Be the main contact between the accountant and the internal organisation.
- Creating, gathering, numbering, and registering the documentation and providing them to accountant.
- Keep track of invoice due dates and provide information needed for payment.
- Registering the orders, creating offers.
- Administrative support for projects.
- Carry out the control of dates and amounts on invoices.
- Evidence of employee documentation.
