Job description, responsibilities and duties

The successful candidate will be responsible for handling relations with suppliers, resolving quality issues, planning the activities for the tour groups before the season start in pursuit of our company’s excellence goals.

Operations Coordinator Responsibilities include:
• Book all services with suppliers prior to start of the season (hotels, bus companies, restaurants, local guides, etc)
• Provide sales updates to hotels/bus companies and suppliers according to contract
• Book and confirm all arrival and departure transfers (to/from airport) according to information from Flight Watch Team
• Prepare & Finalize tour materials for Program Directors prior the cruise as per workflow calendar
• Reconfirm services with suppliers prior the cruise as per worklfow calendar
• Book and confirm special arrangements for individual passengers
• Resolve quality issues related to the tour, itinerary and features included in the program
• Handle relations with suppliers (bus companies, restaurants, local guides, etc.)
• On demand - Support Operations Manager in buying and in searching of secondary vendors
• Respond to Customer Service Requests received from headquater
• Interact regularly with travelers on site once on Ride Along
• Support phone duty appx every 5th week (including after office hours and during weekends to support Tour Guides with emergency situations)
• Customer care over the phone to assist hospitalized travelers during the trip or in case of an emergency
• 1-2 times a year travelling on the product and for the company regional meetings

Personality requirements and skills

• Able to communicate in another European language is welcomed
• Proficient with Microsoft Office package (especially Excel)
• Experience with Amadeus/Sabre and AS400 platform welcomed
• Strong People Skills & Customer Care Oriented
• Self-starter who is able respect deadlines and prioritize
• Demonstrated success in making tough decisions and taking risks
• Travelling on the product and for the company regional meetings
• A flexible, creative, independent and highly organized team member
• Ability to work independently as well as part of a team
