  • Basic wage component (gross) and other rewards: 1 800 EUR/monthBasic wage component (gross) and other rewards from 1800 EUR/month/full-time based on your experience. We carefully consider your professional competencies, qualifications, and experience in our compensation package and/or when offering you other positions.

Job description, responsibilities and duties

The Office Manager will organize and coordinate office administration and procedures, in order to ensure organizational effectiveness, efficiency, and safety. The Office Manager is responsible for developing, streamlining administrative procedures, inventory control, office staff supervision.

1. Operations

a. Managing reception

b. Responsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved, and that clerical functions are properly assigned and monitored

c. Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office

d. PoC for suppliers like cleaning company, landlord, internet, TV, Telecom

e. Manages and administrates the ordering system and manage contract and price negotiations with office vendors, service providers, and office lease

f. Responsible for ensuring office financial objectives are met by preparing an annual budget for the office, planning the expenditures, analyzing variances, and carrying out necessary corrections that may arise

g. Manages the physical archiving system in cooperation with other departments

h. Is co-responsible for the storage of low-value tangible assets

2. IT

a. PoC for external IT provider

b. Is responsible for the HW equipment of the organization, communicates with the supplier of IT services, hands over the HW upon the arrival and departure of employees

c. Provides technical support for zoom calls, manages zoom accounts, oversees setting up conf calls in the meeting rooms

d. Providing technical support for internal databases – Salesforce, Aventri, SharePoint, shared calendar (setting up new accounts, resetting passwords, etc.)

e. Maintain the registry of subscriptions and accounts (external software, online media etc.)

3. Security

a. In coordination with suppliers, being responsible for managing and monitoring the physical security systems of the office and the online security of the systems used in the organization; PoC for the online security provider;

4. Small-scale events management

a. In cooperation with the reception and other departments assists in preparing small-scale online and physical events;

5. Business travel management

a. Manages the process and organization of business travel (overseeing the process of purchasing flight tickets, accommodation and other logistical aspects)
