Job description, responsibilities and duties

The primary goal is to manage the office space used by the Client and to ensure that service is provided at the contractual level.

Responsibilities of administering office related activities:

First contact for FM emergencies
• React immediately at need
• Activate SFOC, IT if needed
• Activate support (vendor, CBRE, landlord’s facility team etc)
• Manage the event on site
• Provide event report

Monitoring vendors' performance
• Fine tune SLA to match the office needs
• Monitor performances against SLA — quality of service, respect of schedules, initiatives to improve their services
• Monitor costs

Managing the FM supply flow for the office
• Ordering FM related supplies
• Accepting delivery and checking quality, quantity and price
• Approving supplier invoice
• Conducting inquiries regarding mismatches

• Responsible for cleanliness of office
• Liaise with cleaning company

• HVAC, Electrical Systems, UPS, Fire Detection, Fabric (walls, windows, doors, Furniture etc.

Preventive maintenance
• Carrying out the CBRE preventative maintenance annual plan for the site
• Local contact for liaising with technical team
• Participating in improving FM services

Reactive maintenance
• React immediately at need
• Activate support
• Continuously participating in improving prevention
• Arranging for repair of all equipment under CBRE responsibility

FM budget
• Participating in budgeting
• Reporting actual spend on a monthly basis according to CBRE procedure

• Submitting POs for all WPR needs (annual POs, project POs etc)

• In case of any office improvement, relocation or expansion project, helping out the GeoCam

• Liaising with the landlord and/or Landlord Technical Lead:
• For maintenance works
• For ad-hoc needs
• Monitor la landlord’ performances
• Regular stakeholder’ meeting with landlord

Tactical Planning
• Updating WPR Tactical Planner about any changes in the office, like work type, function change of a space or room.

• Undertake any other duties, appropriate to post, as directed by the Regional Facilities manager.

Secondary with school-leaving examination
Follow-up/Higher Professional Education
University education (Bachelor's degree)
University education (Master's degree)

You will adopt a hands-on approach to problem solving, have the ability to juggle multiple tasks and can be relied upon to work autonomously. You will need to be able to think on-the-go and collaborate with multiple stakeholders, with experience doing so in a large complex organization that has an international reach. Confidence, agility and adaptability are key to being successful in this role.

• Prior experience in facilities, property management, hospitality or related field (preferred)
• Knowledge of local occupational health and safety requirements, critical facilities and vendor management for

• Understanding of basic technical aspects of property (Computer Room Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system) is advantageous
